Digital Preservation Software Specialist

The DPS Specialist will administer the back office environment of the
Library's digital preservation software (currently the Ex Libris product,
Rosetta). Within the software, the DPS Specialist creates and assigns user
roles, configures deposit procedures for various collections, assesses problem
files in the technical workbench, manages users, manages plug-ins, works with
the technical metadata extractor, risk extractor, migration tools, custom
fixity, format identifier, etc. The DPS Specialist also regularly deposits
files, assesses and approves files deposited by others throughout the
organization, and trains clients to use the software. The DPS Specialist will
also work closely with the Digital Preservation Archivist to introduce new
clients to the software and implement preservation plans within the software.

  
Responsibilities:

  
Duty 1: Coordinate the deposit and arrangement of legacy archival files in DPS
(Workflow 2)Percent of time: 40%

Coordinate large, complicated legacy collections for ingest into DPS, working
closely with Application Development Department on this process.

Resolve ingest/workflow errors within DPS.

Organize ingests into appropriate collections and sets within DPS, working
closely with Digital Preservation Archivist on this process.

Organize and delete, where necessary, remaining master files from source
server once they have been backed up on archival server via DPS ingest.

Within DPS, create derivative files for each collection for ease of access.

  
Duty 2: Coordinate the deposit and arrangement of currently produced archival
files in DPS (Workflow 1)

Percent of time: 25%

Manage the workflows of various departments to ensure files are deposited
correctly.

Manage producer ingest settings, working closely with the Digital Operations
Department (and other departments in the future).

Resolve ingest/workflow errors within DPS.

Organize ingests into appropriate collections and sets within DPS, working
closely with the Digital Operations Department and Digital Preservation
Archivist on this process.

Within DPS, create derivative files for each collection for ease of access.

  
Duty 3: Regularly complete DPS administration functions for Library staff and
external users

Percent of time: 25%

Regularly administer DPS software:

o Configure deposit procedures for various collections.

o Manage user roles (settings, passwords, producer and material flow settings,
etc).

o Create queries and reports re: collections represented, preservation actions
taken, etc.

o Plug-in expertise and management for expanding DPS functionality.

o Maintain active presence on product listserv to keep updated of hot fixes,
new software functionality, and global format risk list, as well as to engage
with user community in problem-solving.

o Work with Systems Administrators on scheduling hot fixes, new versions, etc.

o Work with Digital Preservation Archivist to implement preservation plans for
collections/formats.

o Implement regular fixity checks within system.

o Coordinate format migrations within system.

o Export IEs from DPS at client request.

  
Duty 4: Train staff on the use of Library digital preservation system software

Percent of time: 10%

Prepare materials for staff training.

Work closely with Metadata team and Digital Operations on combined SIMP/DPS
training.

Oversee the coordination and training of staff and external clients on a semi-
regular basis regarding their various roles within the DPS system.

Keep Digital Preservation Archivist updated of all new training, processes,
and workflows as that position will serve as DPS Specialist back-up support
when needed.

Other duties as assigned.

  
Minimum Qualifications:

Requires a bachelor's degree and 0-2 years of experience in the field or in a
related area. Has knowledge of commonly-used concepts, practices, and
procedures within areas of specialty.

  
Preferences:

Experience administering software systems is preferred.
