Headed by an elected state official, the Office of the Secretary of State is
responsible for administering elections within the state, registering
corporations and charities that do business within the state, collecting and
preserving the records of governmental bodies within the state, and
maintaining the Washington State Library. The office also administers the
Address Confidentiality Program, the Legacy Program and the Combined Fund

Duties:
This position reports to the program specialist 5 at the northwest archives
branch and is responsible for performing professional archival reference and
general client services including collection management. This position is
part-time 40% (16) hours per week.
Collection management
* Responsible for collection management, including archival arrangement and description, accessioning and storage, audits of holdings, and records dispositions
* Monitors use of collection and identifies records requiring conservation treatment
* Responds to requests for archival appraisal and coordinates the transfer of records from government agencies to the regional branch
Archival research and reference
* Provides support for archival research functions including corresponding with researchers and providing reference services
* Compiles reference statistics to comply with office reporting guidelines
Records retention
* Provides government agencies with the interpretation of records retention schedules and provides guidance on how to appropriately apply records retention schedules
Miscellaneous support
* Provides tours and instruction for university students and other groups visiting the building:
REQUIRED QUALIFICATIONS
* Master's degree involving major study in archives and records management, history, public administration, or related field with coursework related to archives and records management principles; a bachelor's degree may be substituted with an additional two years of related experience
* Two years of experience in the functional operations of an archives including accessioning, disposition, arrangement and description of records, and records management including storage systems
* Two years of experience using cataloging, archives, or records management software
* Ability to use a personal computer and applicable software to successfully perform the essential job functions of the position
* Education and experience may be gained concurrently.
PREFERRED/DESIRED QUALIFICATIONS
* Experience with electronic records
* Experience using digital imaging software and tools
* Membership in professional archival and historical organizations
SPECIAL REQUIREMENTS/CONDITIONS OF EMPLOYMENT
* This position is covered by a union shop provision. As a condition of employment, the incumbent will be required to become a member of the Washington Federation of State Employees (WFSE).
* Must pass a criminal background check
* May be required to work evenings, weekends, and holidays
* Ability to use ladders and other lifting devices to retrieve records as high as 7' in the air
