Dear Colleagues,

The Access to Memory (AtoM) Foundation is holding its second Annual General Meeting (AGM) on November 9 at 9:00 a.m. PST / 12:00 p.m. EST / 5:00 p.m. BST (5:00 p.m. UTC). The meeting agenda is attached to this message. Individual members and other interested parties are welcome to attend, as observers.

Unless otherwise specified, the institutional member’s contact person will be the person considered delegated to act (vote and participate) on behalf of the member. If the contact person is not available, the member may appoint another person from their institution/organization as their representative for the AGM.

Elections

The Board of Directors consists of:

  *   David Alexander, Royal British Columbia Museum and Archives (2020)
  *   Heather Gordon, City of Vancouver Archives (2019-2020)
  *   Paul Hebbard, Simon Fraser University (Secretary) (2019-2021)
  *   Jeremy Heil, Queen’s University (Chair) (2019-2020)
  *   Tim Hutchinson, University of Saskatchewan (Treasurer) (2019-2020)
  *   Regina Landwehr, University of Calgary (2020)
  *   Karen Trivette, Fashion Institution of Technology-SUNY (Vice-Chair) (2019-2021)
  *   Qing (Jason) Zou, Lakehead University (2019-2021)

The AGM will include the Foundation’s election for the Board of Directors. Board members are elected for two-year terms. Once the new Board of Directors is elected by the membership, the new Board will appoint officers (Chair, Vice-Chair, Secretary, and Treasurer).

There are up to six positions open this year, with David Alexander, Heather Gordon, Jeremy Heil, Tim Hutchinson, and Regina Landwehr having reached the end of their terms. David, Tim, and Regina have all expressed a desire to stand for re-election, leaving up to three positions uncontested.

What does the Board do?

The Board of Directors oversees the Foundation and its activities to support the AtoM community, with a current focus on the development of AtoM 3. The Foundation has contracted a part-time secretariat service to enable Board members to focus more on planning, fundraising, and organizational development rather than day-to-day operational issues.

What is the time commitment?

The Board is currently meeting monthly (by conference call for approximately 1.5 hours), with some discussions and work between meetings. This time commitment is likely to be fluid, depending upon the time of the year and ongoing activities and deadlines.

Helpful experience

Individuals with some of the following skills and experience would be especially welcomed candidates for the AtoM Foundation Board of Directors:

•        Managing budgets, projects, fundraising, writing grant applications
•        Experience with communications and marketing
•        Experience using AtoM software
•        Experience with other open source projects
•        Experience with non-profit governance
•        Experience using archival description standards (RAD, ISAD(G), DACS, Dublin Core, ISAAR-CPF, etc.)
•        Experience with metadata standards (e.g., EAD, EAC, PREMIS, METS, RDF, etc.)

How to apply

Interested candidates should submit a short expression of interest that explains their interest in joining the AtoM Foundation Board of Directors. Please outline your experience with AtoM and any other relevant knowledge, skills, and experience. Please also indicate your current membership status. While membership in good standing is encouraged, a membership is not required for election to the Board of Directors.

Candidates should attend the AGM on November 9. If you are unable to attend the AGM, please indicate this in your expression of interest. Nominations from the floor are also welcomed.

AGM Materials

The proposed agenda, amendments to the articles (purpose statement) and Financial statements, and Board Report, will be posted to the website and accessible by password. Members will receive a password and link in the coming weeks.

La Fondation Access to Memory (AtoM) tiendra sa deuxième assemblée générale annuelle (AGA) le 9 novembre à 9 h 00 (HNP) / midi (HNE) / 17 h 00 (GMT) / 17 h 00 (TUC). L’ordre du jour de l’assemblée est annexé à ce message. Les membres individuels n'ont pas le droit de vote mais sont les bienvenus.

À moins d’avis à l’effet du contraire, la personne-ressource du membre sera la personne apte à agir (voter et participer) au nom du membre. Si la personne-ressource n’est pas disponible, le membre peut nommer une autre personne pour représenter l’institution/organisation comme représentant à l’AGA.

L'AGA comprendra l'élection du conseil d'administration de la Fondation. Les administrateurs sont élus pour un mandat de deux ans. Lorsque les membres auront élu le nouveau conseil, ce dernier nommera des administrateurs (président(e), vice-président(e) et trésorier(trésorière)).

Jusqu'à six postes sont ouverts cette année, David Alexander, Heather Gordon, Jeremy Heil, Tim Hutchinson et Regina Landwehr étant arrivés au terme de leur mandat. David, Tim et Regina ont tous exprimé le désir de se représenter, laissant jusqu'à trois postes non contestés.

Que fait le conseil d’administration?

Le conseil d’administration surveille la Fondation et ses activités de soutien de la communauté AtoM, l’accent actuel visant le développement de la version AtoM 3. La Fondation a récemment confié à contrat des services de secrétariat à temps partiel pour que les membres du conseil puissent se consacrer à la planification, à la levée de fonds et au développement organisationnel, plutôt qu’à la gestion des activités courantes.

Combien de temps faut-il y consacrer?

À l’heure actuelle, le conseil se réunit tous les mois (par téléconférence d’environ 1,5 heure), discute et travaille dans l’intervalle. Cet engagement de temps devrait être fluide, selon la période de l’année ainsi que les activités en cours et les échéances.

Expérience utile

Les personnes possédant certains des antécédents et compétences ci-après seraient des candidats de choix pour siéger au conseil d’administration de la Fondation AtoM :


•              Gestion de budgets et de projets, levée de fonds, rédaction de demandes de subventions

•              Expérience dans les domaines des communications et du marketing

•              Expérience de l’utilisation du logiciel AtoM

•              Expérience d’autres projets à code source ouvert

•              Expérience de la gouvernance d’organismes sans but lucrative

•              Expérience de l’utilisation des normes de description archivistique (RAD, ISAD(G), DACS, Dublin Core, ISAAR-CPF, etc.)

•              Expérience des normes de métadonnées (p. ex., EAD, EAC, PREMIS, METS, RDF, etc.)

Mise en candidature

Les candidats intéressés devraient soumettre une brève expression d’intérêt décrivant ce qui les motivent à vouloir siéger au conseil d’administration de la Fondation AtoM. Il faut exposer son expérience avec AtoM de même que toutes autres connaissances, compétences et expérience, et préciser quel est son statut de membre. Bien qu’il soit souhaitable d’être membre en règle, il n’est pas obligatoire d’être membre pour être élu au conseil d’administration.

Les candidats devraient participer à l’AGA du 9 novembre. Si vous ne pouvez y participer, veuillez le mentionner dans votre expression d’intérêt. Des mises en candidature seront également acceptées lors de l’AGA.

Documentation pour l’AGA

Le projet d'ordre du jour, modification des statuts constitutifs (énoncé de mission),  les états financiers et le rapport du conseil d'administration seront publiés sur le site web et accessibles par mot de passe. Les membres recevront un mot de passe et un lien dans les prochaines semaines.
