Dear Colleagues,
I am working with others in my organization to develop policies and
procedures for handling personally identifiable information (PII), and
would love some information from others in the group on how your
institution is handling SSNs, forms of identification,
banking/tax/financial records, etc., that tend to pop up in paper and born
digital collections. Thus far we've redacted a handful of SSNs using
Acrobat, and embargoed some assets in our DAMS, all on a case-by-case
basis, but we are now in need of a more systemic approach that balances
these security considerations with the work of making our collections more
widely accessible.
- What policies and practices does your institution have in place
regarding acquiring, storing, accessing, and redacting PII in your
collections?
- What tools are you using to scrub sensitive information from born
digital collections?
- How are you approaching digitizing paper collections that contain
sensitive information?
