Digital Management Services

 

Digital Management Services (DMS) is part of the Academy’s Information Technology division where it is responsible for oversight and support of an integrated platform of software services to manage the Academy’s collections catalogs, digital assets and digital preservation workflows.  The DMS platform provides a central access point to all physical and digital collections for internal staff and the public.  The department is also responsible for data governance, data integrity and providing an organizational structure for decision making and balancing requirements of different Academy stakeholders.

 

There is over one petabyte of assets in preservation storage including:  moving image assets of the Film Archive, Academy Awards shows, Oral Histories, digitized images of photographs, posters and manuscript collections of the Library. The collections catalogs of the Film Archive, Margaret Herrick Library and Academy Museum of Motion Pictures have been migrated to the DMS platform totaling three million records to date.

 

Reporting to the Director of Digital Management Services (DMS), the Digital Services Manager manages the assessment, development and implementation of workflows for digitization and born-digital asset management, policies and standards for metadata governance, and user interfaces and tools. 

 

Responsibilities:

·         Manage use and administration of the system including training, user accounts, permissions, reporting, configuration, etc.

·         Manage DMS documentation of policy decisions, metadata governance, workflows.

·         Manage communications to users regarding scheduling for system enhancements and upgrades, and notices describing new system features; assess end-user feedback.

·         Supervise one direct report; provide guidance, training and feedback to team members as needed.

·         In collaboration with the Director, manage interdepartmental working groups to harmonize metadata practice across the organization and establish metadata governance and procedures for the Academy.

·         Collaborate with technical staff in Information Technology to articulate and prioritize system upkeep and enhancements through ongoing requirements-gathering with stakeholders to define use cases.

·         Manage system testing for functionality and user acceptance.

·         Evaluate, define and implement format specifications to facilitate content ingest and distribution.

·         Support the day-to-day operations of the DMS department; assist the Director with the implementation of a data and asset management strategy.

·         Support the remaining phased migration of collection records and digital assets including data mapping, data validation and user acceptance testing.

·         Stay current on developing technologies, changes in standards and practices in the preservation of digital collections and data curation, and recommend responses to such developments.

 

Qualifications:

·         Advanced degree in library science or archive studies preferred or equivalent industry experience.

·         Degree in or demonstrated knowledge of motion picture history strongly preferred.

·         5+ years digital asset and collection management systems experience. Open Text Media Management and Adlib/Axiell Collections preferred.

·         3+ years supervisory and project management experience.

·         Demonstrated leadership experience in change management related to digital initiatives.

·         Project management experience: demonstrated ability to set priorities, plan and manage complex projects, design workflows, work with IT and technical consultants to implement new or improved solutions, and manage user relations and services. Experience using Jira and Confluence is a plus.

·         In-depth understanding of digital preservation principles, digital formats and concepts related to digital use, migration and reformatting with emphasis on image and time-based media formats.

·         Working knowledge of standards and practices for physical and digital holdings in museum, archive, library and audiovisual collections.

·         Working knowledge of data toolsets such as JHOVE, Exiftool, DROID, MediaInfo, and other file utility tools for the identification and validation of various file formats.

·         Excellent verbal and written communication skills and comfort in making public presentations

·         Ability to articulate complex technical concepts to non-technical staff and translate user needs into technical requirements.
