Duties & Responsibilities:
Provides leadership, management, supervision, and planning for serials and
monographic acquisitions in a distinguished library (approximately 220,000
volumes) with world-renowned multi-language, multi-alphabet collections in
Byzantine and medieval studies, garden history and landscape architecture, and
Pre-Columbian studies. All acquisitions work, cataloging, and associated
authority work are done using Ex Libris' Aleph, following Anglo-American
Cataloging Rules , 2nd edition, revised (AACR2r), and Resource D e scription
and Access ( RDA), USMARC formats, and Library of Congress policy and
classification scheme.
Manages all monographic and serial acquisitions. Collaborates with other
library staff to ensure timely, efficient and cost-effective acquisition of
monographs and serials. Directly responsible for acquisition, receipt, and
claiming of analytics and Byzantine studies exchanges. In consultation with
other library staff, analyzes, formulates, and implements monographs and
serials policies and procedures. Prepares budget and collection analysis
reports; prepares and reconciles monthly and annual expenditure reports;
maintains accurate acquisitions records for multiple budgets. Reconciles
monograph and serials budgets as recorded in Aleph with Dumbarton Oaks
financial office accounting systems on a monthly basis. Develops and maintains
effective relationships with vendors by monitoring their performance, as well
as negotiating and reconciling problems. Resolves complex record conflicts and
non-routine problems with the receipt of serials and other continuations.
Serves as the functional expert for serials and acquisitions modules of Aleph.
Creates monthly "New Titles" lists for Dumbarton Oaks website using Cognos
report system and exporting from Aleph to Plone. Serves as Aleph liaison for
employee logins. Prepares written reports and proposals, and compiles
statistics as required. Maintains an awareness of current trends in serials
and monographic acquisitions. Directs special projects and works with other
library staff as needed. Performs related duties as needed.
Supervisory Responsibilities:
Trains, supervises, and evaluates staff involved in order creation and receipt
as well as creation and maintenance of MARC 21 serials holding records.
Basic Qualifications:
MLS required. Minimum three years library experience working in technical
services.
Additional Qualifications:
Supervisory experience is preferred.
Reading knowledge of a language other than English preferred.
Strong computer skills, including integrated library system experience (Ex
Libris' Aleph preferred). Familiarity with XML coding is preferred for
creation o f New Title lists for t he Library's web site.
Proven skills in fostering a cooperative work environment and managing change.
Ability to work effectively in a collaborative environment. Excellent
interpersonal and communication skills.
Physical Demands:
Must be able to lift up to 40 pounds comfortably and push fully loaded book
trucks.
